Valeo is in search of a positive and service-oriented Administrative Receptionist to support the complex administrative needs of our headquarters in Carmel, Indiana. This position includes a blend of general office administration and receptionist duties to ensure efficient daily operations. The ideal individual will possess a positive attitude, be highly resourceful, and can balance multiple priorities with ease.
This position requires in-person office attendance and is based in our Carmel headquarters.
Responsibilities:
- Serve as the “Director of First Impressions” by greeting all clients and guests and maintaining conference rooms and other related public areas.
- Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly.
- Manage the daily office calendar and coordinate meetings for clients, prospects, strategic partners, internal stakeholders, etc.
- Ensure the office is well-stocked with necessary supplies, coordinate deliveries, and communicate with vendors as appropriate for productive operations.
- Process mail and client legal documents by reviewing for accuracy, correctly logging, and distributing to the relevant parties.
- Filing and organizing records, invoices, and other important documentation.
- Develop and closely follow appropriate standard operating procedures to ensure compliance with applicable regulatory requirements and corporate quality standards.
- Manage complex office administrative work requiring the use of independent judgment and initiative.

Qualifications:
- 3+ years of administrative support or equivalent experience in a professional environment required. Prior experience in the finance industry preferred.
- High school diploma required; higher-level education preferred.
- Highly proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and database management. Experience working with a CRM system preferred.
- Possess extremely high attention to detail and discretion when dealing with sensitive and confidential corporate and client information.
- Very strong interpersonal skills and the ability to build relationships with key stakeholders.
- Passionate about the client/guest experience with strong organization and time management skills.
