Executive Assistant

Position Overview:

This position addresses the complex administrative requirements necessary to support a senior executive. The responsibilities include providing high-level support by anticipating needs, establishing seamless processes for essential executive tasks such as scheduling, travel arrangements, communications, and reporting. The ideal candidate should demonstrate sound judgment in various situations, possess excellent written and verbal communication skills, adapt quickly to new technologies, and effectively manage multiple priorities.

Duties and Responsibilities:

  • Manage all aspects of calendars including, but not limited to, external and internal meetings, personal appointments, and events; Proactively resolve schedule conflicts.
  • Email management – assist in managing all email correspondence to ensure timely responses using good judgment.
  • Track expenses and submit monthly expense report.
  • Arrange travel as needed.
  • Order client and employee gifts as needed.
  • Assist with sponsorships, donations, and event tickets as needed.
  • Maintain Salesforce contact and vendor records.
  • Provide support in the creation and distribution of communication materials including company newsletters, announcements, and slide decks.
  • Support the coordination of ongoing projects such as communicating with key stakeholders, tracking progress, and reporting results.
  • Facilitate internal communication to ensure prompt and efficient decisions can be made on key initiatives and that all deadlines are met.
  • Develop and closely follow appropriate standard operating procedures to ensure compliance with applicable regulatory requirement and corporate quality standards.
  • Manage complex office administrative work requiring the use of independent judgment and initiative.
  • Other duties as assigned.

Requirements:

  • 3+ years’ experience providing executive-level administrative support or an equivalent blend of experience.
  • Bachelor’s degree strongly preferred, but candidates with at least some higher education experience will be considered if all other qualifications are met.
  • Highly proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and related technology. Prior CRM experience a plus.
  • Discrete and highly meticulous with sensitive and confidential corporate and client information.
  • Exceptional interpersonal skills with a proven ability to establish and maintain relationships with key stakeholders.
  • Excellent time management, organization, and problem-solving skills.
