Position Overview:
We are seeking a bright and detail-oriented Investment Operations Manager to join our Investment Team with a strong desire to learn. The Investment Operations Manager is responsible for overseeing and continuously improving the firm’s investment operations infrastructure. This role serves as the central point of coordination for trade reconciliation, performance and reporting accuracy, and the administration of private investments. The Investment Operations Manager partners closely with portfolio management, trading, compliance, accounting, and external custodians to ensure operational excellence, scalability, and risk mitigation across all investment activities.
The successful candidate will work closely with the Valeo Investment Team, Research Analysts, and Compliance teams to ensure seamless execution and efficient management of client portfolios.
This position requires consistent in-person attendance at our Carmel, Indiana headquarters.
Duties and Responsibilities:
Trade Processing & Reconciliation
- Perform daily trade reconciliation in Tamarac across all custodians and accounts, including equities, fixed income, ETFs, and mutual funds.
- Investigate and resolve trade breaks, failed settlements, and cash discrepancies directly within Tamarac and custodian portals.
- Monitor trade status, corporate actions, and pricing feeds to ensure accurate settlement and position data.
- Coordinate directly with Advisors, custodians, and third-party vendors to resolve operational issues in real time.
- Maintain and improve Tamarac workflows related to trading, reconciliation, and data validation.
Performance Reporting & Portfolio Data
- On an ad hoc basis, assist with generating and reviewing performance reports using 3rd party software.
- Ensure accurate return calculations, benchmarks, composites, and attribution.
- Own data validation processes for prices, transactions, cash flows, and account classifications prior to performance reporting.
- Support ad hoc performance and portfolio analysis requests from portfolio managers and client teams.
- Assist with composite maintenance and documentation (GIPS experience a plus).
Private Investment Administration (Alternatives)
- Maintain private investments, including setup of partnerships, capital commitments, capital calls, distributions, and valuations.
- Reconcile private investment cash flows and valuations between custodians, fund administrators, and internal accounting.
- Track capital activity and maintain accurate records for private equity, private credit, and other alternative investments.
- Manage documentation related to subscriptions, capital notices, and quarterly statements.
Tamarac System Ownership & Process Improvement
- Serve as a primary Tamarac power user and internal subject-matter expert.
- Manage account setup, security creation, pricing, classifications, and data feeds within Tamarac.
- Identify data issues or inefficiencies and proactively improve processes to increase accuracy and scalability.
- Partner with Tamarac support and consultants on system enhancements, upgrades, and issue resolution.
- Document procedures and maintain operational best practices within Tamarac.
Controls, Risk & Collaboration
- Perform daily, weekly, and monthly controls to ensure accuracy of holdings, cash, and performance data.
- Support audits, compliance reviews, and regulatory exams with accurate operational data and documentation.
- Work closely with compliance and finance to ensure alignment between investment records and books and records.
- Provide operational insight and support for new investment strategies, custodians, or managers.
Qualifications
- Bachelor’s degree in finance, accounting, economics, or related field.
- 5+ years of hands-on investment operations experience in an RIA, asset manager, or family office.
- Strong understanding of trade lifecycle, reconciliation, and settlement processes.
- Direct experience with performance reporting and portfolio accounting.
- Experience administering private investments and alternative assets.
- Exceptional attention to detail and ability to troubleshoot data issues independently.
- Strong organizational and communication skills.
- Ability to work in a fast-paced environment with attention to detail and accuracy.
- Strong knowledge of compliance and regulatory guidelines (e.g., SEC, FINRA, etc.) as they relate to trading.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and trading-related software.
Preferred Qualifications
- Experience with Tamarac Trading (or other trading software), Reporting, and Performance modules.
- Familiarity with custodians such as Schwab, Fidelity, Pershing, or BNY Mellon.
- Experience supporting GIPS or institutional-style reporting.
